Proofpoint: How to Whitelist or Blacklist an email (End User)

Overview 

Use the Safe Senders List to ensure emails from a trusted address always reach your inbox. Use the Blocked Senders List to always quarantine emails from an unwanted address. Changes apply to your account only.

⚠️ Important: The organization-wide block list overrides your personal safe senders list. If a sender is blocked at the org level, adding them here will not deliver their emails — submit an IT helpdesk ticket in that case.


1. Access the Portal Log in with your email credentials: ➡️ https://00a08801.pphosted.com:10020/euweb/login


2. Go to the Lists Tab In the bottom-left navigation, select Lists, then choose either:

  • Safe Senders List
  • Blocked Senders List



3. Add a New Entry

  1. Click New at the top of the list
  2. Enter the email address (e.g. sender@example.com) or an entire domain (e.g. @example.com) to apply the rule to all emails from that domain
  3. Click Save

4. Remove an Entry 

To undo a safe or block rule:

  1. Select the entry from the list
  2. Click Delete
  3. Click Save


💡 Shortcut: If you're releasing a quarantined email you know is legitimate, use Release & Allow directly from the Quarantine tab — this delivers the email and automatically adds the sender to your Safe Senders List in one step.


Still need help? If a blocked sender still isn't reaching you after adding them to your safe list, it may be an org-level block. Contact the IT helpdesk.
