How to Set Up Microsoft 365 Multi‑Factor Authentication (MFA)

NOTE: If MFA was already setup for you in the past and IT had to reset your MFA, you must DELETE the token you have before you continue..

Section 1: How to delete your token

1. Open authenticator & tap your account to open it

2. Tap the settings icon

3. Remove your account by clicking 'Remove Account'


Section 2: Initial MFA Setup
NOTE: Use these steps if your MFA has been reset, or you are setting it up for the first time.

1. Sign in and begin MFA enrollment

The next time you sign in after MFA is enabled or reset for your account, you’ll see a prompt asking you to set up additional security. Click Next to begin.

2. Download the Microsoft Authenticator app

You will be prompted to install the Microsoft Authenticator app on your mobile phone.
Install the app, then click Next twice.

3. Add your account to the app

On your phone, open the Authenticator app:

1. Tap the + icon (top right).


2. Choose Work or School account.

Select Scan QR code.

4. Scan the QR code

Use your phone to scan the QR code displayed on your computer.
Once scanned successfully, click Next on your computer.

5. Complete the verification

You will see a two‑digit code on your computer.
Your phone will receive an MFA prompt—enter the two‑digit code into the app, then approve the sign‑in by clicking Yes.

Section 3: Adding Microsoft Authenticator When MFA Is Already Set Up

If you already use MFA but need to add the Authenticator app (new phone, additional method, etc.), follow these steps:

1. Go to your account settings

Visit: https://office.com and login with your account

2. Open your account page

Click your name in the lower-left corner → View account

3. Open Security Info

Select Security info → click Add sign-in method

4. Choose Microsoft Authenticator

From the method list, select:
Microsoft Authenticator → click Next twice.

5. Add the account on your phone (same steps as above, please refer to section 2 in the green text)

On your mobile device:

  • Open the Microsoft Authenticator app
  • Tap Add account
  • Choose Work or School account
  • Select Scan QR Code

6. Scan the QR code and verify

Scan the QR code with your phone, then click Next.

You will receive a prompt on your phone with a two‑digit verification code.
Enter the code on your phone to complete setup.

✔️ You’re all set! Microsoft Authenticator is now added and ready to use.
